The objective

What this system is built to do

Run events as a pipeline system, not a brand exercise. Design for the conversations you need, then follow up hard enough to convert them. Not doing: sponsoring events with no follow-up plan.

Cycle & hand-offs: Design the event runs quarterly and starts the cycle. Hand-offs: Design the event → Book venue and speakers: straight away; Book venue and speakers → Fill the room: straight away; Fill the room → Run it: once the event date has arrived; Run it → Follow up and score: 24 hours later. Any other link waits for a person. Sign-off steps stay with a person; everything else can run on its own once armed.

How it runs

The steps your team follows

The workflow, exactly as it runs inside . It plays through step by step, or pick any node on the map.

1

Design the event

Quarterly
  1. Pick the audience and the one outcome the event exists to produce.
  2. Set the format, size and date that fit that outcome.
  3. Build the budget and the break-even number.
  4. Human approval, approve concept and budget before committing spend.
2

Book venue and speakers

Quarterly
  1. Source and negotiate the venue and suppliers.
  2. Confirm speakers and brief them on the audience.
  3. Lock the run-of-show.
3

Fill the room

Quarterly
  1. Open registration in Eventbrite.
  2. Drive sign-ups by direct invite first, broadcast second.
  3. Reconfirm 48 hours out, no-shows are the main leak.
  4. Before the day, book the meetings. Research each target attendee, route each to the teammate whose role fits the conversation, and ask for a specific slot. Pre-event sequences stop themselves when the event passes.
  5. Room brief, 1–3 days out (once the registration list exists): map every registrant to a company, business email domain first, then the form's company field, then known name-to-domain aliases, then prior-event matches; join each company live against the CRM (tier, stage, owner, open deal, customer status); check each person's current role on and mark anyone who has moved, trust the current profile over the CRM. Produce one phone-readable page per account, ordered: priority accounts with people in the room, warm accounts, large companies, open deals, customers.
4

Run it

Quarterly
  1. Coordinate on the day against the run-of-show.
  2. Make sure every target guest has the conversation they came for.
  3. Capture consent and contact details properly.
  4. Capture every new contact the same way, the same day: person, company, what was discussed, agreed next step, straight into the CRM, with the event as source.
5

Follow up and score

Quarterly
  1. Personal follow-up within 48 hours, referencing the actual conversation.
  2. Route the real opportunities into the CRM.
  3. Report cost per opportunity against the break-even set at the start.
  4. The follow-up is written as the person who had the conversation, referencing it, not a generic thank-you.
  5. Day 30 and day 60 read: accounts engaged → meetings → demos → opportunities → pipeline → won, each with the conversion from the step before. Deals created before the event are influence, not event pipeline. The CRM wins any conflict with the event list; an opportunity without an amount counts at zero and is named, never estimated. Event spend is entered by hand and the ratios follow from it.
